Information we collect

Depending on how you interact with us, we may collect your name, contact details, organisation and job details, CV, employment history, qualifications, skills, work preferences and information you include in messages or provide during recruitment conversations. We may also receive information from referees or other sources where relevant to a recruitment process.

Please do not send information that is not relevant to your enquiry or an application. We will explain separately if we need special category or criminal-offence information and how it will be handled.

How we use your information

We use personal information to respond to enquiries, discuss vacancies and recruitment services, assess candidates for relevant opportunities, communicate with candidates and clients, arrange introductions and interviews, and keep appropriate business records.

Our lawful basis depends on the circumstances. It may include taking steps at your request before entering into a contract, performing a contract, pursuing our legitimate interests in operating our recruitment business, or meeting a legal obligation. Where we rely on consent for a particular use, you can withdraw it at any time; this will not affect processing already carried out.

Sharing your information

We do not sell personal information. We will discuss a relevant opportunity with a candidate before sending their CV or details to a prospective employer. We may use service providers who support our website hosting, email and business operations; they process information on our behalf and are expected to protect it appropriately.

CV submissions and enquiries

Provider enquiries and candidate details submitted through this website are saved securely with a record of consent and notification status. Notifications are sent to contact@carenav360.co.uk. CV files are linked to the application in private storage and the notification includes a time-limited download link, rather than a public attachment. Access is restricted to authorised CareNav 360 staff and the holder of that private link. If notification sending fails, the uploaded CV is removed where possible and the form clearly reports the notification failure; the enquiry or application details remain securely stored for follow-up. You can also email us directly.

How long we keep information

As an employment agency, we keep the records required by the Conduct of Employment Agencies and Employment Businesses Regulations 2003 for at least 12 months after they are created and, where the records relate to a work-seeker or hirer to whom we have provided services, for at least 12 months after the last date we provided those services to them. This statutory record-keeping period does not mean that every document must be kept for the same length of time.

We keep CVs, interview notes, references and other recruitment information only for as long as it is needed for the relevant recruitment purpose and any applicable record-keeping or legal requirement. Information collected for checks or vetting that is no longer needed is securely deleted as soon as reasonably practicable. We periodically review information and securely delete or anonymise it when it is no longer required.

Keeping information secure

We take reasonable steps to protect personal information against unauthorised access, loss, misuse or disclosure. Information submitted through this website may be handled by our website hosting and email service providers. No method of transmission or storage is completely secure, but we take appropriate care in managing the information we receive.

Cookies and website data

This website may use essential hosting and security technologies. We do not currently use analytics tracking on the website. If this changes and non-essential cookies or tracking are introduced, we will provide appropriate information and choices.

Your data protection rights

Depending on the circumstances, you may have the right to request access to your personal information, ask us to correct or erase it, restrict or object to certain processing, or request data portability. Where processing is based on consent, you may withdraw that consent. These rights are subject to legal conditions and exemptions.
